Account and organization records may include sign-in email, name, hashed authentication credentials, school name, role, settings and membership status. When a school enters information, its workspace may contain student names, belt ranks, classes, attendance, contact and guardian details, emergency contacts, optional profile photographs and school-provided notes. Tuition, store and membership features may record charges, amounts, payment status and related transaction details. Support requests and product feedback are also retained.

Basic technical records such as session identifiers, device or browser information, and server or security logs may be processed to operate the service. Additional functionality, including future third-party payment connectors or notifications, may involve additional information when a school enables it.

2 / Why information is used

Records are used to authenticate members, run each school's CRM workspace, support attendance and student workflows, show school operations and tuition activity, answer support requests, prevent misuse and maintain or improve product reliability. Schools are responsible for deciding what student and guardian information to collect and ensuring they have appropriate permission to enter it.

3 / Access and service providers

Authorized school users may access records according to their permissions. BlackBeltMyBiz service operators may need access for support, security, platform operation and deletion requests. Hosting, storage, authentication and email-delivery providers process information needed to provide those services. Payment providers may process additional information only when a school chooses to connect one in a future enabled workflow. A school's records are not intended for display to visitors or unrelated schools.

4 / Children and student information

PocketDojo is a business tool for martial arts schools, not a consumer social network directed at children. Schools may maintain minor-student and guardian information. School administrators should collect only the information necessary for school operations, obtain appropriate permissions and restrict staff access accordingly. Do not put payment card numbers, passwords or unnecessary sensitive information into support tickets.

5 / Storage, cookies and retention

Sign-in sessions and local device preferences help the website and installed app work. Essential data may be retained while an account or school workspace remains active and for a reasonable period needed for support, backups, fraud prevention, dispute resolution or applicable legal requirements. Specific backup expiration and provider retention periods will be confirmed as part of the production store-readiness review.

6 / Access, corrections and deletion

Schools can update many student and school records directly in the CRM. Account owners may request deletion of their account and associated personal data. A request is logged for identity, school-ownership and lawful-retention review; submitting a request does not immediately erase the shared school workspace. We will communicate the next steps and confirmation by email.
